The case for one app

The real cost of six files that disagree.

In most offices the same quantity lives in six files, and only one of them ever gets corrected. This page shows you where that quietly costs money — and exactly what changes when a number is entered once and read everywhere after that.

Before and after

The same project, done two ways.

Read the left column and see how many times one figure is typed by hand. Then read the right column, where it is typed once. Nothing else about your engineering changes.

How most offices work today

Six files, five people, one number that keeps moving

01
The estimate
One workbook per project, built by the estimator. The formulas in it are correct — it is only correct for the day it was saved.
02
The rate
The SOR PDF is open on a second screen. Someone reads out the clause while someone else types the number. One wrong clause and the bill comes back.
03
The bill
The billing engineer opens a fresh sheet in the department's format and retypes the quantities, item by item, from the estimate.
04
The programme
A Gantt is drawn in week one and printed for the wall. By week three it is wrong, and updating it means drawing it again.
05
The site
Progress arrives as WhatsApp photos and a phone call. Nothing in it can go into a bill until a person types it in somewhere else.
How it works in Civil Limitless

One place the number is typed, and one place it is read from

01
The estimate
Quantity is entered in the Measurement Book as Nos × Length × Width × Height. That is the only screen in the app where a quantity is typed.
02
The rate
Type Footing Concrete M25 in your own words. The app searches the rate book and fills clause 5.33.1.1, unit cum, rate ₹7,178.75, the work category, the stage and the material formula.
03
The bill
The RA bill reads the same measurement. You approve the deductions — GST, retention, TDS, advance recovery — and not one quantity is retyped.
04
The programme
Durations come from crew size and output on the same items. CPM runs on your working calendar with your holidays, and the dates move when the work moves.
05
The site
The site app records progress, QC and photos against the item itself — offline, with the location and time burnt onto the picture.
To be fair to Excel: Excel is not the problem. It is the best calculator ever made and every estimator we know lives in it. The problem is that a workbook has no idea the other five workbooks exist — so a quantity corrected in one of them has no way of reaching the bill, the material list or the programme. That is a filing problem, not a spreadsheet problem.
Where the money leaks

Six leaks, and none of them are engineering mistakes.

Every one of these happens between two files, which is why a better spreadsheet has never fixed it. Each became a screen in the app for that reason.

The golden rule

A number is entered once. After that it is read.

This one rule is the whole design of the app. Every screen either owns a number or reads one. No screen does both, so two screens can never disagree.

Quantity is typed in the Measurement Book. Nowhere else. The BOQ, the Bill of Materials, the client bill, the contractor bill, progress and earned value are all views of that same figure.

Where each number is born

This is the table we teach on day one of setup. Learn the middle column and you will always know which screen to correct.

Number Enter it here Everywhere else it is read, never typed
Quantity of work Measurement Book BOQ / Abstract · Bill of Materials · Client billing · Contractor billing · Project Control · Earned value
Rate Schedule of Rates, or Rate Master Measurement Book (filled in for you) · BOQ · Every bill
Material per unit of work Quantity Master formula Bill of Materials · Material reconciliation · Rate Master
Work actually done Daily Progress, or a tick in Project Control → Progress Progress % · Earned value · Weekly PPC · Billing
Material received Material Master — the supplier invoice Reconciliation · Procurement · Indents
How to use it when a figure looks wrong: walk back up this table. The wrong number always came from the row above — and there is exactly one place to correct it.
Being straight with you

What Civil Limitless is not.

You will find out in month two anyway, so here it is in month zero. If any of these four is the thing you actually need, we are not the right software for you and we will say so on the first call.

It is not an accounting package

Your books stay where they are. The app works out what to bill, what was deducted and what is still outstanding — GST, TDS 194C, retention, security deposit, advance recovery — and gives you clean figures and a signed invoice to post. It does not keep your ledgers, your balance sheet or your returns, and it does not pretend to.

It is not an ERP you configure for six months

There is no empty system waiting for you to define it. CPWD 2023 with 4,060 rate items, 84 QC checklists, 69 bar shapes and the consumption formulas are already in the box. An engineer from our team loads your rate book and your live projects, so the first screen you open has your own work in it — not a blank one.

It is not cloud-only

The app runs on your computer with its own database on that computer. A site office with no network keeps estimating, measuring and billing. The internet is used to check the licence, fetch an update, and back up to your own Google Drive if you switch that on. Nothing else stops when the line drops.

It is not a substitute for your engineer

The app suggests the clause it believes is right and shows you what it matched before anything is saved — Smart Import puts all 145 rows of your Excel on screen with the clause it found for each, and writes nothing until you press Import. The app does the typing. You still do the deciding.

What it is: one place where the quantity, the rate, the material, the programme and the bill are the same set of numbers — set up on your own projects by a civil engineer who comes to your office.
Who this changes the day for

The argument is different at every desk.

An estimator and a store keeper are not buying the same thing. One licence covers the office and the site, and each person gets the screens they need and nothing else — you decide who can open or change what, project by project.

A measured result, not a claim

469 rods became 410. Waste fell from 13.93% to 1.23%.

A bar bender cuts the footing steel in month one and the column steel in month five. Each stage is cut on its own, so the tail of every rod goes to the scrap pile — nobody can be expected to remember that a 2.6 m off-cut from a footing would have been a column bar.

Civil Limitless plans the cutting stage by stage, the way the site actually works. Every usable off-cut is tagged, carried into the next stage and cut into a bar that was going to need a fresh rod. On a live project in the app: 469 stock rods down to 410, waste from 13.93% to 1.23%, utilisation 98.6% — about 309 kg of steel saved on one job, from planning alone.

  • Printable cutting cards for the yard, in English, Hinglish or Hindi
  • Every off-cut tagged, so the bender knows what to keep and what to scrap
  • 69 bar shapes from IS 2502 and BS 8666, plus any shape you draw yourself
  • The schedule reads the same items as the estimate — nothing is measured twice
How the steel schedule works

This is one project, measured inside the app. It is the kind of number that only appears once the cutting is planned across stages instead of one stage at a time.

Before you move your business onto it

The boring questions, answered.

These are the questions we would ask if somebody showed us this software — about the network, the data, the standards behind the formulas, and who has to be there to make it work.

Bring one estimate. We will run it.

Thirty minutes on a call, on your own numbers — and if the app is not right for the work you do, we will tell you on that call.
